5 Ways Dubsado Runs My Business

When you’re a business owner, running a business can feel like you need 4 other sets of hands. Thankfully, programs like Dubsado exist!

Dubsado is a Client Relations Management solution to help you organize contracts, invoices, payments, forms, scheduling, and so much more. At Rural Creative Co., we would be totally lost without Dubsado.

Here are 5 ways Dubs runs our business.

+Scheduling

Prospective clients fill out a short form and schedule meetings with me before starting any projects. This entire step is managed by Dubsado. Apppointment windows, automatic reminder emails, and the short form clients fill out are configured in Dubsado and packaged together in an easy-to-manage scheduler for clients. Everything is complied into a client card, and I get a notification about the appointment and a link to the form they have filled out. This helps me keep track of client info, and really cuts down on the back and forth of scheduling a first meeting.

+Proposals

We send all of our proposals through Dubsado. Clients are provided with 2-3 packages and 3 add-ons that may be relevant to their projects. When a client chooses the packages and add-ons for the project, they are automatically presented with a custom contract and invoice based on their choices.

This feature cuts back on the back and forth of pricing and proposal AND ensures project deposits are made when the project is agreed upon. And, if you’re just starting out and feel silly talking about pricing, Dubsado takes the guess work out with packages and allows clients to clearly see what is offered in each package.

+Proofs

Sending off proofs and receiving feedback is painless with Dubsado. We have a canned template for all proofing sessions which includes a short walkthrough video of the item to be proofed and a few questions for feedback. At the end, clients check sign off on the proof to keep the project moving forward and to avoid any backtracking later. When feedback is received, all forms are saved in a local project space for future reference.

+Invoicing

I already talked a little about invoicing on proposals, but I love that Dubsado allows me to set reoccuring invoices for retainer clients and custom invoices for single projects or additional services in that project. The invoicing system with Dubsado is easy, and clients are able to find all past invoices in their client dashboard, so there’s never any confusion about what was paid and what was unpaid. Dubsado also allows clients to split projects up into smaller payments. This makes our services more manageable for everyone.

+Reports

The income and project reports in Dubsado helped me get clear about what projects were bringing in money, and just how much. This helped me scale back our offerings and really get clear on what Rural Creative Co does. While Dubsado is not meant to be used as your sole accounting software, it does offer great cash reports and helps you set achievable income goals. All of this information is made handy in your dashboard which keeps you excited about reaching goals and letting you know where your business is each month.

Before Dubsado our system was a mess of paperwork and back and forth conversations with clients. Now, all of our paperwork happens in Dubsado, even proofing for projects is handled through Dubs. Dubsado isn’t just for designers either, business owners in many niches benefit from Dubsado. The best part, Dubsado is free for your first three clients, so test it out with no strings attached!
